Your Email Signature
Is Part of the Brand.
Every email you send is a touchpoint. How you sign your name, what links you include, and how your signature looks tells the person on the other end exactly who you are and who you represent. Get it right every time.
Why It Matters
A Signature Does More Than You Think.
District contacts, principals, and teachers are evaluating your professionalism from the first email. Your signature builds credibility before they ever reply.
It Builds Credibility
A clean, consistent signature tells the recipient you represent a professional, established organization — not a startup figuring things out.
It Drives Traffic
Every email is an opportunity for the recipient to click through to the website and learn more before — or after — a conversation.
It Protects the Brand
Inconsistent signatures — wrong fonts, wrong links, personal emails — undermine the brand. Uniformity across the team signals strength and professionalism.
The Standard Signature
What Every Signature Must Include.
This is the approved format for every sales rep. Use it exactly as shown — do not add, remove, or rearrange fields without authorization.

Optional Add-Ons
When to Add a Third Website.
In specific situations, you may add one additional website to your signature. Never add both at the same time — choose the one that is most relevant to your recipient.

spiceandsprinkleswriting.com

Add this line when you are emailing ELA teachers, writing coaches, literacy coordinators with a writing focus, or anyone whose primary interest is the writing framework.

Writing-Focused Audiences

savorthetextreading.com

Add this line when you are emailing reading specialists, literacy coordinators focused on comprehension, or anyone whose primary interest is the reading framework.

Reading-Focused Audiences
Important: When in doubt, leave the optional line out. A clean two-website signature is always preferable to an overcrowded one. The standard signature works for every audience — the add-on is a strategic tool, not a default.
Dos & Don'ts
What Belongs in a Professional Email.
Your signature is just one part of professional email representation. These guidelines apply to every email you send on behalf of Chalk & Eraser.

ALWAYS DO

+Use your Chalk & Eraser email address for every professional communication
+Use the approved signature format exactly as shown
+Proofread before sending — spelling errors undermine credibility instantly
+Use proper capitalization and punctuation throughout the email
+Keep your tone professional and courteous, even in follow-ups
+Include a clear subject line that is specific to the recipient
+Use approved email templates as your starting point

NEVER DO

Send professional outreach from a personal email address (Gmail, Yahoo, etc.)
Alter the approved title — do not create your own variations
Add logos, images, or custom graphics to your signature without authorization
Make pricing commitments, promises, or guarantees in writing without approval
Use casual language, slang, or excessive exclamation points
CC personal contacts, competitors, or unauthorized parties
Forward internal Sales Hub materials or pricing documents externally
